Is certified hairdressing cash register software mandatory for my hair salon?

Since 1 January 2018, hairdressing cash register software must comply with the NF525 standard.

Are all salons concerned?

As a hair salon manager, you have many responsibilities, including the obligation to have certified cash register software as of January 1, 2018. Everything you need to know about certified cash register software is explained at 😉.

What is certified hairdressing software?

In order to combat tax fraud, the French government has decided to introduce a law requiring hair salon managers to equip themselves with certified cash register software. A certified cash register software is therefore a software that complies with article 88 of the law n°0215-1785 of December 29, 2015 of finance for 2016 (it is the famous finance law).
A certified cash register software must meet 4 conditions:

• Unalterability: all collection data is stored. Corrections are therefore visible in your cash register software.
• Security: the certified cash register software must guarantee inalterability.
• Conservation: the certified cash register software must provide for daily, monthly and annual closures. These must be kept for 6 years.
• Data archiving: a certified cash register software must date the data and therefore allows a traceability of the documents.

A cash register software is approved certified following an assessment of its cash register system conformity and a quality management system audit.

How do I know that my checkout software is certified?

If you want to be sure that your cash register software is certified, we advise you to equip yourself with software certified by recognised organisations such as AFNOR or LNE. To be sure, ask the publisher of your software today to provide you with the certificate of conformity that you will have to present if you have an inspection. Namely, there are 3 ways for cashier software publishers to have a certified cashier software:

• The NF 525 standard of AFNOR (French Association for Standardization)
• LNE's (Laboratoire national de métrologie et d'essais) "Certification des systèmes de caisse" (certification of checkout systems)
• The certification of the editor of the cash register software itself.

What doI risk if I don't have a certified cash register software?

If you have a checkout software that is not certified by AFNOR, LNE or the software publisher, you risk a fine of 7,500 €. The company that persists in these failures will see the amount of the fine increase.

If your cash register software is certified by AFNOR, LNE or the publisher of the cash register software but, for whatever reason, your cash register software presents a flaw during the audit, then the certifier is responsible for this flaw.

Note: if your hairdressing salon is not computerised, i.e. you do not manage your cash receipts and do not keep track of your cash journal in Excel for example, you can keep a paper cash journal. Note also that self-employed persons are not subject to this obligation either.

However, a certified cash register software allows you to have a rigorous visibility on your cash receipts and thus block all management errors whether it is for cash receipts, cash disbursements, cash register closing and cash register journals to be transmitted to your accountant.

Moreover, with a certified cash software you will be able to simply communicate the data of your hairdressing salon to your accountant.
